Our role

Ashantis & Co. Events provides event planning, coordination and vendor connection services. We source, coordinate and partner with independent local vendors on behalf of our clients. Services and rental items may be provided by those partner vendors rather than by us directly.

Requests and availability

Submitting a request does not confirm availability or reserve services. All event requests are reviewed before a custom invoice or payment request is sent.

Quotes and pricing

Pricing varies based on event date, location, guest count, services requested, vendor availability, setup requirements, and delivery details.

Quotes are estimates until confirmed in writing. A date is reserved only once the applicable invoice or deposit has been paid and confirmation has been sent.

Client responsibilities

Clients are responsible for providing accurate event details, securing venue permissions, power access, and safe setup space, and for ensuring the site is accessible at the agreed setup time. Additional charges may apply for changes requested after confirmation.

Cancellations and changes

Cancellation, rescheduling and refund terms are outlined in the invoice or agreement for your specific event, and may follow the policies of the partner vendors involved. Weather-related changes for outdoor events are handled case by case.

Vendor partners

Vendor submissions are an expression of interest and do not create a partnership, employment relationship or guarantee of referrals. Partner vendors are independent businesses responsible for their own licensing, insurance, staffing and services.

Liability

To the extent permitted by law, our liability is limited to the amount paid to us for the affected services. We are not responsible for the independent acts or omissions of partner vendors, venues or guests.
